Notifications
Notifications are a very important tool to receive up to the minute status update on task changes. There are varieties of notifications that can be configured to notify users when tasks that meet certain criteria (Status, Priority, Assigned to, Reported By, etc.) are added or updated.
Setup Notification Boxes
The first step to configure in order to receive notifications is to set up locations or notification boxes where the messages will be delivered. Currently Project Studio supports only email, but in the future there will be capabilities for SMS and instant messengers. Each user can set up multiple boxes, for example Home Email, Work Email, etc.
To set notification boxes:
- Go to Settings, My Profile and select the Notification Box tab.
- Select Type of the notification box, currently only Email.
- Enter Box location. For Email type is should be a valid email address, Mobile number for SMS, ICQ number for messenger type, etc.
- Enter the notification box name in the Save notification box as field.
- Click

- To add new notification box select New Box from the list labeled Load.
- To edit notification box select the existing box from the list labeled Load, change the type or location and click
.
Note: If the name of the box is changed it will create a copy of the notification box with the new name.
- To delete notification box select the existing box from the list labeled Load and click
, then confirm the deletion.
Setup Notification Rules
Each rule represents the conditions that tasks have to meet in order for notifications to be sent to that assigned notification boxes. Notification rules can be configured in several places: My Dashboard, Project, Folder, and Task. Notifications have some restrictions based on where they are configured.
- Select Project and go to the Notification tab
- Select criteria to be met for the notification:
- Project and subfolders of the selected project that current user has access to.
- Priority (High, Medium, Normal, etc.)
- Task State (Active, Archive)
- Type (New Functionality, Change Request, Issue, etc.)
- Status (New, In Progress, Ready for QA, etc.)
- Assigned To - current user and teams that the user is member of and have access to the selected project.
- Reported By - users and teams with access to the selected project.
- Due Target.
- Due Date (From/To).
- Complete Date (From/To).
- Created Date (From/To).
- Attachments (With, Without attachments or All).
- Add/Remove notification boxes:
- Select Notification Box
- Select the Notification format:
- Tasks List
- Tasks List (Text)
- Tasks with Details
- Tasks with Comments
- Tasks List (with lines)
- Tasks with Details (with lines)
- Tasks with Comments (with lines)
- Click

- To remove notification box from a rule click the delete icon located on the right side of the notification boxes list and confirm deletion
- Enter notification rule name in the Save rule as field.
- Click

- To add new notification rule select < New Rule > from the list labeled Load
- To edit notification rule select the existing rule from the list labeled Load, change its details and click
.
Note: If the name of the notification rule is changed it will create a copy of the notification rule with the new name.

, then confirm the deletion.
Notify Klip
Project Studio provides as an alternative to internal notifications using a third party notification tool from KlipFolio. KlipFolio provides a convenient desktop interface to receive notifications when tasks meet certain criteria (Tasks, Status, Priority, etc. are added or updated).
To download, install and configure to use KlipFolio follow the instructions provided on the Notify Klip tab of My Dashboard.
